Job Summary
The Executive Administrative Assistant will provide high-level administrative support to the Executive Department by handling a vast range of executive-level tasks.
Minimum Qualifications
- High School Diploma, additional education preferred
- 3 to 5 years of administrative or executive support experience
- Proficient in Microsoft Office Suite
- Excellent communication skills
- Strong organizational skills and time management skills
- Attention to detail
- Ability to handle confidential information with discretion
- Ability to multi-task
- Knowledge of office management
- Compliance with Act 153, 126, and 168
Essential Duties and Responsibilities
- Maintain and coordinate all travel arrangements for the Executive Team
- Register Executives for conferences; Monitor conference(s) details and communicate with the Executive(s) attending the conference(s)
- Act in the role of the lead for all event planning both within and outside of Lincoln Learning Solutions (United Way; McGuire Home)
- Preparation and coordination of any needs for meetings, including ordering of meals
- Monitor, order, and distribute all supplies for the company
- Schedule meetings for the Executives
- Front desk duties, including answering phones, distributing mail, and greeting employees and guests
- Gather information from Executives and create the Board Report
- Oversee and manage the calendars for the Executive Team
- Provide support to the Executives for any projects or special tasks
- Support for job postings
- Management of contracts and all related documents
- Provide administrative support to Virstone Preparatory Academy
- Perform any other duties as directed by the President/CEO or any member of the Executive Team
Physical Demands
While performing the duties of this job, the employee is occasionally required to stand, walk, sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
