Job Summary

Seeking a highly organized and professional Executive Administrative Assistant to provide comprehensive administrative support to our Executive team. The ideal candidate will represent the organization and the Executive team with superior professionalism in presentation, communication skills, and ability to multi-task in a fast-paced environment.

Minimum Qualifications

  • Bachelor’s degree or equivalent experience in a related field
  • Minimum of 3 years of experience in an executive administrative support role
  • Excellent communication and interpersonal skills
  • Strong organizational and time management skills
  • Proficient in Microsoft Office Suite and other relevant software applications
  • Ability to multitask and work under pressure
  • Ability to handle confidential information with discretion
  • Strong attention to detail and accuracy
  • Willing to obtain PA notary certification

Essential Duties and Responsibilities

  • Manage and maintain Executive schedules, including arranging meetings, conferences, and conference travel
  • Screen and manage incoming phone calls, emails, and mail
  • Conduct research and prepare reports, presentations, and other materials
  • Manage and maintain confidential files and records
  • Communicate and collaborate with internal and external stakeholders on behalf of the Executive team
  • Attend and participate in meetings and take minutes as required
  • Prepare agendas and briefs for meetings
  • Plan and coordinate events, such as company parties or executive meetings
  • Maintain and manage a cross-departmental shared documents library
  • Perform other administrative duties as assigned

Physical Demands

While performing the duties of this job, the employee is occasionally required to stand, walk, sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
